Data Security Policy
1. Purpose
This Data Security Policy defines how NRB FINANCE ensures the confidentiality, integrity, and security of customer information collected during loan application, processing, repayment, and recovery.
2. Scope
This policy applies to:

All employees, agents, and representatives of NRB FINANCE.

All customer data, whether stored in physical records (paper files) or digital systems (computers, servers, cloud storage).
3. Principles of Data Security

Confidentiality: Customer data will only be accessed by authorized persons.

Integrity: Data shall remain accurate, complete, and up to date.

Availability: Data shall be available only to authorized staff for business purposes.
4. Data Protection Measures
A. Physical Security:

Loan files and KYC documents will be stored in locked cabinets at office premises.

Only authorized staff shall have access to physical records.

Visitors will not be allowed in record storage areas.
B. Digital Security:

Customer data stored electronically will be password-protected.

Access to systems will be on role-based authorization.

Regular backups will be maintained to prevent data loss.

Antivirus and security software will be installed on official systems.
C. Transmission Security:

Data shared over email/UPI/online platforms will be done using secure channels only.

Sensitive information will not be shared on public platforms.
5. Employee Responsibility

Employees must sign a confidentiality undertaking.

Any unauthorized access, copying, or misuse of customer data will lead to strict disciplinary action.
6. Data Breach Management

In case of any suspected or actual data breach:

The Grievance Officer must be informed immediately.
-
Investigation will be initiated within 48 hours.
-
Affected customers will be notified if required.
-
Corrective action will be taken to prevent recurrence.

7. Data Retention & Deletion

Data will be retained only as long as necessary for business/legal purposes.

Secure methods (shredding for paper, permanent deletion for digital files) will be used for disposal.

The Applicant/Customer confirms that he/she has read and understood the terms and conditions of this Policy/Agreement. In case of any difficulty in understanding the contents, the Applicant/Customer shall immediately contact NRB FINANCE during the loan application process for necessary clarification. NRB FINANCE shall not be held liable for any misunderstanding if the Applicant/Customer fails to seek clarification before proceeding with the loan process.
